Send Your Team the Meeting Action Items — Owners and Deadlines Included
Who it's for
- Managers and office teams — Send the standup's tasks and owners to the team before everyone opens Slack.
- Sales teams — Email the follow-ups from a client call while the call is still fresh.
- Teachers — Send the staff-meeting to-dos to colleagues without retyping them.
Example
A 30-minute Hinglish standup
- You record
- The Monday standup, where the manager says "Rahul, kal tak report submit karo" and Priya offers to call the vendor.
- You send
- Email Action Items to 3 teammates from the saved note.
- Example email
- "1. Submit the weekly report — Owner: Rahul — Due: tomorrow 2. Call the vendor about the delayed shipment — Owner: Priya — Due: Wednesday 3. Share the updated client list — Owner: Ankit" (From: Monday standup)
- Then ask (Pro)
- With a week of standups in a "Team" folder: "What did I commit to this week?" — Example answer: "Review Priya's vendor quote by Thursday (Source: Tuesday standup) and send the client list (Source: Friday standup)."

Get Pro — ₹2,990/yearHow action items email works
Open any saved note, click Email Action Items, enter your team's addresses — hearlog reads the transcript with Google Gemini, extracts the tasks with their owners and deadlines, and sends a clean formatted email to up to 5 people. If there are no action items, it tells you instead of sending an empty message.
The extraction understands the way Indian teams actually talk. A Hinglish commitment — "Rahul, kal tak report submit karo" — becomes "Submit the report — Owner: Rahul — Due: tomorrow". Hindi, Telugu, Tamil and mixed-language meetings all produce a readable English-formatted task list your whole team can act on.
Because it works on any saved note, it covers every input hearlog supports — live recordings, uploaded audio, YouTube transcripts and PDF extractions. Recipient addresses are used only to send that one email; hearlog does not save them or add them to any list.

Action items email — FAQ
How does the action items email work?
After saving a meeting recording as a note, click "Email Action Items" and enter your team's email addresses. hearlog picks out the tasks, commitments and deadlines in the transcript and sends a formatted list to up to 5 recipients. No copy-pasting required.
Does it work for meetings in Hindi and Indian languages?
Yes. hearlog extracts action items from transcripts in Hindi, Telugu, Tamil, Hinglish and other Indian languages. A Hinglish line — "Rahul, kal tak report submit karo" — produces an action item in readable format for the email. The same works for other supported languages.
How many people can I send action items to?
You can send to up to 5 email addresses per note. Enter them as a comma-separated list. Each recipient gets the same formatted email with all action items from the meeting. For a larger team, send it to a team mailing address or forward the email.
What if the meeting has no action items?
hearlog scans the full transcript for tasks, commitments and deadlines. If none are found, it notifies you instead of sending an empty email. This prevents confusing or empty emails reaching your team — only genuine action items are sent.
Can I send action items from uploaded audio files?
Yes. The action items email feature works with any saved note — live recordings, uploaded audio files, YouTube transcripts and PDF extractions. As long as the note has a transcript saved, you can extract and send action items from it.
Is the action items email free?
Action items email is a Pro feature at ₹299 per month or $6.99 per month. The free plan includes transcription, AI summaries and manual export. Pro adds automated action item emailing, Chat with recordings, YouTube transcription and PDF extraction.
Can I customise the email template?
Not today. The email uses one standard format: numbered action items, with the responsible person and the deadline wherever they were mentioned in the meeting. The email includes a short footer noting it was shared via hearlog, so recipients know where it came from.
Is my team's email address stored by hearlog?
Recipient addresses are passed to our email provider only to deliver that one email. hearlog does not save them to your account or any database, so you enter them again for each send, and it does not add recipients to any mailing list.
